Create an approved source set
Policies, service details, pricing rules and process notes often live across documents, inboxes and personal memory. An AI tool cannot reliably distinguish the current instruction from an obsolete version unless the knowledge is organised.
Identify authoritative sources, remove duplicates and assign an owner to each area.
Structure for retrieval
Use clear headings, plain language and focused documents. Separate universal rules from exceptions. Include effective dates and links to source systems where appropriate. A well-structured knowledge base helps people as much as it helps AI.

Avoid uploading sensitive or unnecessary material simply because it exists.
Govern the answers
Decide which tasks may use AI output directly and which require human approval. Track common unanswered questions and improve the source content rather than endlessly expanding prompts.

Reliability comes from the full system: trusted knowledge, suitable permissions, a defined workflow and proportionate review.
